Service Guarantee Administrator

Job Title: Service Guarantee Administrator

Location: High Wycombe

Salary: Competitive

Job Type: Full Time (40 hours per week), Permanent

Hazlemere Window Company is seeking an administrator to work across our Retail and Service Departments within our Head Office in High Wycombe.

Key Responsibilities:

  • Answer call to department and respond to service call requests raised on Sage CRM.
  • Undertake phone overflow.
  • Schedule service calls within 48 hours maximum of call being raised to the business.
  • Requisition from Purchasing any items required to undertake service calls.
  • Oversee quotes delivered by engineers, and where applicable, price items using FDS and draw up contracts for signature.
  • Report monthly to Operations Director and Installations Director on department performance against KPIs set.
  • Oversee GDPR regulations within the department.

Key Requirements:

  • The person should be routine-orientated, methodical, thorough, compliant, cautious, sensitive, diplomatic, self-disciplined, amiable and accommodating.

Invoicing Co-ordinator

Department: Purchasing

Hazlemere Windows is seeking an Invoicing Co-ordinator to assist the Purchasing team in our High Wycombe Head office.

Key Responsibilities:

  • To process all purchase order processed (POP) Invoices within the allocated month and time frame.
  • Distribute all invoice queries to the relevant managers.
  • Chase missing advice notes from suppliers.
  • Post all POP invoices on Sage 200 Accounting System.
  • Log all posted invoices onto central spreadsheet.
  • To carry out any other duties that may be deemed necessary for the completion of the works by the company and/or the line manager.
  • Manage delivery note email address.
  • Keep up to date supplier contact details for Invoice queries.
  • Filing, scanning and archiving.

Key Requirements:

  • Position to work closely with the Head of Purchasing and Accounts Department.

Commercial Administrator Assistant

Job Title: Commercial Department Administrator

Location: High Wycombe, Bucks

Hazlemere Window Company are looking for an experience administrative assistant to join their busy Commercial department. Reporting to the head of department, The successful candidate will be providing a complete administrative support role to the Commercial department and Estimating Team.

Hours of work: Monday – Friday (40 hours a week)

Salary: Competitive

Key Responsibilities and Accountabilities:

  1. Log all enquiries/new customers/new suppliers into the Commercial Department by loading onto CRM, ensuring details are updated as required
  2. Raise new contracts on CRM and Commercial server and compile relevant paperwork, including creating new paper copy files and forwarding to relevant departments. Download any documents required for the new enquiry and add to commercial estimating folder
  3. Look at specification for details of project to record accurately on CRM
  4. Ensure that the credit scoring system is used to record any new enquiries and complete a standard evaluation form and then add score to CRM.
  5. Minute taking of meetings as and when required, including new project Handover meetings
  6. Update product spec brochures on the shared drive and place copies in the hard folders
  7. Scanning and copying of documents for the Estimators
  8. Complete PQQs for submission to organisations and Approved Supplier Questionnaires.
  9. LHC Project Registration
  10. Organise site surveys for Estimating Department as required
  11. General administrative duties including: composing and sending general letters and emails to customers or clients; rejection to price works letters, decline tenders, save emails onto software package, following up requests from Estimating Team.
  12. Answer switchboard overflow calls as required
  13. Carry out any other duties that may be deemed necessary for the completion of the works by the company and/or the line manager.

Personal Specification:

COMMERCIAL PROJECT MANAGER

Base Location: High Wycombe, Buckinghamshire

Purpose of the Role:

Reporting to the Commercial Operations Director, the purpose of the role of Project Manager is to manage the commercial window and door installation process and installers to ensure that the companies numerous double glazing commercial projects are completed to an excellent level of customer services. To control customer debts and keep debtors list to an acceptable minimum.

Key Responsibilities and Accountabilities:

  1. To manage all installers to undertake installations within the KPIs set and agreed with the Line Manager.
  2. Manage a number of Installation teams and any other resources required for the effective and efficient running of the department. Manage and maintain all HR responsibilities and employee and self-employed contractual obligations and enforce and monitor KPI’s for all staff within the installation system.
  3. Provide accurate, regular and timely management information on customer records, completed installations and customer debtors.
  4. Set communicate targets with the Installers and other members of the Commercial department.
  5. Communicate and keep update all customers at point of Installation until completion and maintain excellent customer services.
  6. Carry out any other duties that may be deemed necessary for the completion of the works by the company and/or the line manager.
  7. Ensure that all customer contractual obligations are met.
  8. Enforce and monitor all Health and Safety aspects on site and within the team, ensure all relevant training is up to date for all Installation staff
  9. Deal with and resolve or delegate any on site issue as they arise.
  10. Monitor and arrange as applicable relevant training to enable installer to carry out installations works
  11. Raise, monitor, action and report on Non-conformances as necessary.

Personal Specification:

Essential:

  • Health & Safety Training to Management level

  • CSCS card holder

  • SMSTS Qualified

  • Strong organisational and planning skills

  • Self-motivated with the ability to work unsupervised and as a part of a team

Windows and Doors Sales Consultant

Hazlemere Window Company Ltd seek experienced windows and doors sales consultant

This leading role is for an experienced double glazing sales person to help spearhead Hazlemere's impressive new showroom on Mundells Industrial Estate, generating sales of bespoke double glazed aluminium and UPVC windows and doors from high quality retail leads provided primarily throughout Hertfordshire, Bedfordshire and the more northerly parts of North London. You will have your own vehicle, however you will be provided with all necessary hardware, software, literature and samples. You will operate from offices within Hazlemere’s large home improvements showroom in Welwyn Garden City on Little Mundells. Occasional showroom duties are currently shared with the other sales consultants, most of whom sell conservatories.

Sales commissions are uncapped, with no limit placed on higher earnings. Hazlemere seek a self-motivated individual who is polite, punctual, diligent and customer focused.

Previous double glazing sales experience essential, preferably with a working knowledge of both UPVC and aluminium systems (both not vital, but would be useful). Experience with First Degree Systems software would be an advantage, but not essential as training will be provided.

Hazlemere independent double glazing manufacturers with a 38,000 square foot factory and 8,000 square foot showroom in High Wycombe, Buckinghmshire.

Own transport and a driving licence a necessity.
